
Making the Most of Your Automated MyConference
MyConference puts you in control of your conference. The following tips will
help you conduct your automated conference as professionally as possible.
Know Your Passcode.
Because your MyConference is not started by a conference support specialist,
entering a passcode is the only way to access your conference. Your reservationist
will assign a passcode to your call when you make your reservation or set up
your account. You have three opportunities to enter your passcode. If your third
attempt fails, contact Reservations to verify the meeting time, passcode and
dial-in telephone number.
Increase Security With Moderator Features.
Your Moderator Features enable you to press *92 to hear a roll call; press *93
to terminate all participant lines; press *94 to lock and unlock your conference;
press *96 to mute all participant lines; and press *97 to “un-mute”
all participant lines. Please request Moderator Features at the time of your
reservation. They are available at no charge.
Monitor Your Conference Participants
You can monitor the status of conference participants within MyConferenceManager.
When a participants joins the conference, their status changes to “In
Conference.” When a participant leaves the conference, the status changes
to “Disconnected.” The times that each participant joins/leaves
the conference are available in the “In” and “Out” column
of MyConferenceManager.
Choose Music On-Hold.
Increase security by playing music into the conference until you are ready to
begin, thereby ensuring you are in control of your conference.
Begin With a Roll Call.
Kick off your MyConference meeting with a roll call. Then, use the entry and
exit tones that are played into the conference when participants join and leave
the call to update meeting attendance. When you hear an entry tone, it helps
to ask, “Who just joined us?”
Record Your MyConference.
If you reserve your Scheduled MyConference via the Web, you can record your
conference. A replay will be available once you’ve reached your scheduled
end time.
Identify Yourself When Speaking.
State your name when speaking during your MyConference to avoid confusion. For
example, say, “This is John, and I think....”
Reduce Background Noise.
Office equipment and loud talking can disrupt your meeting. Press *6 to mute
your line during noisy situations, then press *6 again to “un-mute”
your line when you’re ready to communicate.
Never Place Your Line on Hold.
If you must step away from the conference for a moment, do not place your line
on hold. The on-hold music will be played into the conference already in progress.
If another participant sends on-hold music into your conference, press *0 for
assistance from a reservationist.
Turn It Up.
If you have trouble hearing other participants, press *4 to increase the conference
volume. If other participants have trouble hearing you, press *5.
Turn It Down.
To decrease the volume of other participants' voices, press *7. To decrease
the volume of your voice, press *8.
Assistance is Always Available.
If you need help during your automated conference, press *0 to reach a reservationist
or press *1 to access the Help Menu. Pressing the star key (*) automatically
re-admits you to your meeting.
Control Your Invitation Distribution.
When faxing or e-mailing the telephone number for your MyConference, take an
extra step to verify the fax number or e-mail address before transmitting the
document. Only share the dial-in number and passcode with the people you have
authorized to attend the meeting.
Limit Distribution of MyConference Information.
Due to the 24/7 access of MyConference, we recommend limiting the distribution
of your passcode to prevent misuse of your account.
